Job Details

Job Title: Subscription Book Administration Apprentice (Level 3 Business Administrator Apprenticeship)
Work Location: Remote – Work from home – (England) – This role is fully remote, but would be good for someone based around Oxfordshire​

Salary

£18,000.00 – £22,000.00 per year – Full-time, Fixed term contract, Apprenticeship Contract length: 20 months

Job Purpose

The overall purpose of the role is to provide an outstanding level of service within the department and more widely, supporting and facilitating the resources required for students to be successful in their learning. The role includes, but is not limited to, the following:

Books:

  • Processing internal requests for books and eBooks, arranging the efficient distribution of books to families in the UK andInternationally.​
  • Keeping families informed through each step of the ordering and delivery process of their books.​
  • Being proactive to solve problems.​
  • Keep all internal reporting systems up to date as needed and follow procedures correctly.​
  • Provide cover for team members when needed.​
  • Other tasks as agreed with your manager.​

Subscriptions:

  • Generating student logins to resources and adding them to Word templates​
  • Problem-solve student/family subscription issues in a timely manner and involve Systems as needed to resolve issues.​
  • Provide cover for team members when needed.​
  • Other tasks as agreed with your manager.

Other Tasks​

  • Stamping documentation procedure (training provided), to cover this function in the absence of the Documentation Systems Officer.​
  • Student certificates – creating student certificates from a template and sharing them with students and their families

Hours of work​:

  • Full-time (including apprenticeship commitments)​

People Specification​:

  • Computer skills – Applicant must have experience of Microsoft Word and Excel​
  • Process driven – Ability to work independently to a high standard, following Wolsey Hall processes.​
  • Excellent communication skills – Ability to keep families informed and resolve queries efficiently.​
  • Organisational skills – Able to manage multiple requests, track orders, and ensure systems are up to date.​
  • Problem-solving ability – Proactive in addressing and resolving book or subscription issues as they arise.​
  • Team player – Able to work collaboratively with other departments (Admissions, Accounts, SPMs) to ensure smooth processes
  • and customer satisfaction.​
  • Attention to detail – Ensures accuracy when processing requests and updating systems.​
  • Customer service-oriented – Committed to delivering a high level of service to students and families.​
  • Ability to work under pressure – Comfortable managing tasks during the busy season (typically summer).
